Bookkeeping for fuel, convenience and liquor retail

Your business lives in six systems. Your books should live in one.

Finato collects what your POS, back office, fuel portal, petty cash ledger, vendor portals and bank feeds each know, and brings it together into one clear picture of how the business is really doing — with a real bookkeeper checking every entry.

The sign says $3.09. What does a gallon actually earn you?

Finato matches your fuel portal, delivery tickets, supplier invoices and pump sales every month, then shows profit per gallon by grade — and what’s left after the card processor takes its cut. A separate fuel analysis, every month, so fuel never hides a weak month inside.

Inside sales

Most reports assume 25% on beer. Finato works it out from what you actually paid.

Costs come from your vendor invoices, inventory is tracked as an asset, and tobacco rebates are credited back to the category that earned them. So the margin on every category is the real one — and the P&L your CPA gets matches the one you run the business on.

A real bookkeeper, not an algorithm

Books kept by someone who knows retail — and checks with you instead of assuming

Your bookkeeper has kept books like yours before. They know what a lottery sweep, a scan-data rebate or a fuel draft looks like, and when something isn’t clear they ask you — so the books are right the first time, whether you own one location or fifty.

“My bookkeeper just sorts it however the software suggests.”

A person posts every entry. When it isn’t clear, they ask you.

Your books are kept by a bookkeeper who knows retail, not by auto-categorisation. Anything unclear comes to you as a quick question, and every month is reviewed before it closes. No assumptions, no surprises.

A question from your bookkeeper

ACH debit of 2,104.60 on Sep 18 — is this the beer distributor’s second invoice, or a credit reversal?

Second invoice. Delivery came Sep 16.

Answer saved. Matched to the delivery and the invoice.

“I find out about problems at year-end, from my CPA.”

Anything odd waits in one short list, not a thousand lines.

Expenses that jump, deposits that don’t match the register, a vendor credit that never arrived — they’re flagged the month they happen and put in front of you with the reason.

“I never quite know what’s coming in and what’s due.”

Who owes you. Whom you owe. How old it is.

Vendor bills are matched to deliveries and payments. Card settlements, lottery sweeps, rebate claims and house accounts are tracked until the money actually lands.

“Each location is a different spreadsheet. I can’t compare them.”

Every location on the same books. Compare them in a glance.

Each location keeps its own books; the report layouts you choose are reused across all of them. Put locations side by side on margin, fuel, expenses — and see which ones carry the rest.

“The report I get isn’t the report I want.”

We don’t dictate your reports. You build the one you want to see.

Start from our retail layouts or build your own: which lines, which order, which locations, which months. Save it once and it’s your report from then on — on the web, in the app, and in your CPA’s year-end package.

FAQ

Questions owners ask us

Who actually does my books?
A dedicated bookkeeper on our team who works with retailers every day. They post, classify and reconcile your books, ask you when something isn’t clear, and every month is reviewed before your reports go out. You always have a person to call.
Is any of this automated guesswork?
No. Software brings your bank feeds and reports in, but a person decides how every number is booked. If a transaction isn’t clear, it comes to you as a question — we don’t assume.
I only have one location. Is this for me?
Yes. Most of our clients started with one. You get the same bookkeeper, ledger, app and reports as a chain does, priced for your size.
I have a lot of locations. Can you keep up?
Yes. Each location has its own books, your report layouts are reused across all of them, and you can compare locations side by side. Adding a location adds no work for you.
Which back-office and POS systems do you work with?
All the major ones, including Modisoft, Petrosoft C-Store Office, PDI, CStorePro, Hisably, Verifone, Gilbarco Passport, NCR Radiant, Clover and Square. If your system can export a report, we can work with it. See the full list.
We’re on Xero, QuickBooks or Sage. Can you move us?
Yes. We bring your history across and check the trial balance month by month so the numbers match before you switch.
What does it cost?
Pricing is based on your setup — how many locations and legal entities you have and the services you need. One monthly price covers everything on this page. Use the Contact button in the pricing section and we’ll send you a quote.
Will my CPA be able to work with this?
Yes. Your CPA gets the trial balance, general ledger, P&L and balance sheet by location and period, plus a year-end package. We keep tax-ready books; your CPA prepares and files your returns.
